Positions . . .

Bookkeeper / Receptionist

I am looking for a tech savvy bookkeeper who has experience with QuickBooks Pro, and the full suite of Microsoft products.  You will also be asked to file many items electronically.  In the role of bookkeeper, you will need to enter invoices and associate them with jobs. You will need to invoice all our work and prepare reports such as tracking sales, receivables and payables.  When invoices are paid, you will need to determine the bills to be be paid from from the payment received.  You will also need to work with me to guarantee payment accuracy.  You will also work with our accountant to yield balance sheets when asked.

You will be one of several people in the office, although you will be the principle bookkeeper.  You will need to work as a team member, something that I hold essential.  You must be self-directed and someone I can count on to do work when no one is present.

Your role is also as a receptionist. This is a shared responsibility with our Plan Room Coordinator (PRC).  Because the phones must be attended from 8-5pm, you will be expected to start at 8am.  You can work with our PRC to schedule who will be available till 5pm.  You are expected to work at least 40 hours a week.

You will be bonded and expected to become our notary.  (If you have anything in your past, that would prohibit such bonding, please let me know during the application stage.  We have a non-smoking office and do not permit smoking on the premises.

In a small office of 6 people you will be asked to help in other ways. We all do what is needed to provide the oversight needed to produce our fine products.

The position includes medical insurance and one week's paid vacation after one year.  5 sick days are also included yearly.  It will be wise of you to review what is available on our website to see if you would be comfortable working in a small office with others who work independently and as a team.  If you need a lot of training and conversation with other people regularly, this position will no doubt be a struggle for you.

I will be reading all the resumes and replying shortly to your email.  I will be setting up phone appointments at the first of May.  Following that, I will ask several people to come in for a personal interview in which I will ask you to use QuickBooks Pro during the interview to demonstrate both typing ability and familiarity with the program.

Before I am able to make the phone interview with you, I would like to speak with 3 references.  Because some past employers are unwilling to speak to other employers, please call your references and give them permission to speak with me.  I will be asking them several questions, and may not consider you if I am not able to speak candidly with them.   Therefore, if you have not included your references, please re-email me with their names, phone numbers, along with the best time to call.
